J-Purchase is a stand-alone solution, which manages the Purchasing function from requisition, through sign-off and receipt. Incredible flexibility to design your own approval rules means this is a real ‘use-it-straight-away’ solution.
The main form of the system provides a repository for all the Purchase Requisition and Order information (Supplier, delivery dates, items, prices, etc.), as well as providing internal information relating to cost codes, nominal/expenditure codes, justification, goods received, returns and purchase invoice information.
Enter the purchase details manually, select from pre-configured Standard Orders or simply copy an existing order.
Includes a self-contained Supplier listing. Maintain all relevant details about your suppliers, e.g. account number, bank details, preferred supplier status.
Configure your own rules! An unlimited number of rules can be set-up based on the following variables, name/dept. of requestor, cost centre, expenditure code, and order value. It’s even possible to legislate against an ‘approver’ being on holiday! 100% email driven, it’s so easy to set-up up and change the rules whenever necessary.
Choose to print/fax/email a purchase order, try recording how the supplier would prefer to receive it. Fax and email will be delivered via Lotus Notes Mail.
Part and full deliveries can be recorded. The system tracks the outstanding deliveries and the outstanding invoices. Track the status of requisitions through all their stages from requisition, through approval, to order placed, to received and completed. At any stage a form can be cancelled with full integrity.
Record your budget details for each cost centre and expenditure code, and then track the orders placed against this budget. Simple view will show you ‘how much is left’ and who is over-budget!
Use this solution in a single Domino Domain, but use unlimited users, servers, sites and countries. You get the source code too.
